All booking terms & conditions are set out conveniently and contain important information for your upcoming India and subcontinent trips. “Incredible Heritage India Tours” has made every effort to provide technical information in clear and unambiguous language in order to provide your maximum confidence for a safe and hassle free tour with us. This is where your journey begins!
We request you to please read the Terms and Conditions carefully before making payments and finalizing the bookings with Incredible Heritage India Tours.
How to Book
After choosing your holiday and reading the Booking Conditions please complete the Booking Form and send it to us along with the appropriate advance booking deposit.
Upon confirmation of a booking, we will send to you a travel confirmation along with an invoice for the trip as contract document of tour.
The payment schedule is as follows:
- 30% of the total price of the trip must be paid as an advance to confirm a booking, immediately after receipt of the travel confirmation and invoice from the Company;
- The remaining 70% of the price must be paid at least 30 days prior to start of the tour.
- If the booking is made and confirmed within three weeks of departure, above conditions shall not apply and You shall pay the entire amount (100%) of the bill upon confirmation of the booking.
- Upon receiving the final payment, the Company will send you all the hotel vouchers and other relevant travel documents required for the trip.
Our responsibility
We accept responsibility for ensuring that the holiday which you book with us is supplied as described here, or any other literature printed by us, and the services offered reach a reasonable standard. In the unlikely event that any part is not provided as promised, for reasons within our control, we will pay you appropriate compensation if this has affected the enjoyment of your holiday.
In respect of carriage by scheduled air, sea, other water bodies like rivers and lakes, and rail transports the provision of accommodation and services in these are the responsibility of the providers of these transports and we merely act as agents for these providers and our liability in all such cases will be limited.
Thus if a scheduled flight or train or ship has delays or changes in schedule or cancellation of service we are not obliged to offer alternative arrangements, it is the providers of these services who are responsible. We will, however, try our best to assist in the provision of alternative services, if required, on receipt of appropriate payment for these.
Your responsibility
The visa and health information are detailed separately here and in our website and the need for these is reiterated in our documentation accepting your booking. You are, however, yourself responsible for your passports, visas, vaccinations, foreign exchange for personal expenses, etc., and we do not accept any liability for non-communication of relevant details to you. If any service offered by us is not clear, you should get written confirmation from us about its inclusion in the price.
Change in the Itineraries
All itineraries are flexible, initially intended as samples to give you a general idea of a likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants, and other variables, may dictate itinerary changes either before the tour or even after the tour begins. Rarely, in the interests of our trip participants’ safety, comfort and general well being, we reserve the right to make schedule changes.
Amendments
Changes, amendments or modifications to an existing, confirmed itinerary, may be made if such requests are made 45 days in advance of arrival in India. Of course, our ability to meet requests for amendments depends on prevailing availabilities, logistics, acceptable expenses and/or other variables beyond our control.
Price Guarantee
Our rates are based on the prevailing rates as negotiated with hotels, airlines, or other needed services. Hotels and Airlines retain the right to modify the rates without notice. Should such changes impact the rates we have quoted it may be necessary for us to adjust our fees accordingly. For this reason, prior to full and final payment, Incredible Heritage India Tours reserves the right to adjust our fees if necessary. Upon full and final payment, prices will be guaranteed.
Accommodations, Sharing & Dietary Requests
Individual travelers wishing to tour with a group will be matched with a person of the same gender and enjoy the resulting price savings. In general, breakfasts at the hotels are included; however, other meal arrangements are subject to request and negotiations and will be formalized at the time of the final contract. Beverages, bar items, room service and other personal expenses are not included and are the responsibility of each individual traveler.
Your Holiday Contract
In order for us to work in partnership with our clients in planning their memorable trip, we suggest they become familiar with the above terms and conditions. The Holiday contract is based on the above booking conditions, and we operate on the assumption that both our representatives and our clients have read, understood, and accept the booking conditions terms.
Travel Documents
Travel planning takes place over a period of time through a dynamic of adjustment and modification. Periodically, documentation of the process is provided to our potential clients through the planning process by our assigned and dedicated travel professions. Upon completion of the planning, each client is provided with all documents needed for proceeding with the travel plans by our assigned representative at the time of the client’s arrival. Clients who would like possession of their travel documents prior to arrival may write and request copies of the documents to a designated address. Such requests must be made at least 30 days before travel in order for us to ensure delivery prior to two weeks before travel departure.
Passport, Visa & Immigration
All the travelers travelling to and within India require both a valid passport and valid visa. It is mandatory that you familiarize yourself with any visa and immigration requirements and ensure that the surname and initials on your passport corresponds exactly with the surname and initials you have given to Incredible Heritage India Tours to be printed on flight tickets. Names on all travel documents must match exactly. Failure to do so may result in the airline refusing you the right to travel. Your national passport, valid visa to visit India, and other immigration and/or travel requirements are your responsibility and you should confirm these with the relevant Embassies or Consulates. We cannot and do not accept any responsibility if your travel is upheld, delayed, or cancelled in the event you have not complied with any passport, visa or immigration requirements. Each traveler is personally responsible for all entry, exit and other documents required by laws, regulations, orders, demands or requirements of countries origin, destination or transit.
Vaccination & Pre-Existing Medical Conditions
We assume that all travelers have satisfied their personal vaccination and health requirements. We are not responsible for consequences of inadequate vaccination or health arrangements. Prior to booking, it is essential that travelers advise us of any disability, limitations or pre-existing medical conditions, before we accept responsibility for and proceed with operating your trip itinerary. In order for us to confidently and safely provide an enjoyable and travel experience for individuals, their partners and other tour or group members, we may request travelers to provide a letter from personal physicians confirming individual fitness to travel. In the interests of efficiency, logistical dynamics or unforeseen circumstances, as well as the health, safety, and comfort of both our staff and clients, Incredible Heritage India Tours reserves the right, at its discretion, for any reason, or no reason, to cancel individual and/or group bookings and to refund unspent and/or unrecoverable revenues paid in advance by travelers.
Travel Insurance
Travel Insurance is compulsory for all Incredible Heritage India Tour’s travelers. Purchase of travel insurance in one’s home country is strongly recommended prior to leaving home to cover potential risks that are pertinent to them. We reserve the right to cancel any traveler’s participation, without refund of fees, in a trip at anytime, including after the commencement of a trip, in the event a traveler is unable to provide proof of insurance. Incredible Heritage India Tours does not carry insurance to cover expenses for health, accidents, illnesses, loss due to theft, or any other reason during the course of providing travel services. We do not assume liability or responsibility for travelers’ personal items, baggage, luggage & personal property. For this reason, travelers must purchase insurance to protect their property. However, transport provided by Incredible Heritage India Tours is insured as required by the Indian Motor Vehicles Act and claims, if any, will be covered according to the rules of the Insurance Companies and, if warranted, will be paid in Indian Rupees.
Force Majeure
In case of force majored (unavoidable circumstances beyond our control) “Incredible Heritage India Tours” will not accept liability, and reserve the right to change and cancel trip. No compensation will be paid under circumstances caused by war or threat of war, civil strife, industrial dispute, terrorist activity, accident, natural or nuclear disaster, fire, airline failure, closure of airports or adverse weather conditions, “Acts of God,” or any other similar cause beyond our control.
Complaints & Grievances
If you have cause for complaint during the holiday please bring it to the notice of our Local Representative/Agent and/or the hotel who will try their best to solve the problem. It is not advisable to do nothing about a problem when it occurs but to later write to us seeking recompense. If we feel you avoided action to redress a problem when it occurred, no compensation will be offered if it is brought to our attention later. If the problem remains unresolved in spite of your pointing it out locally to our agents when it occurred please write to us within 30 days of the completion of the holiday. We shall investigate the complaint and send you a reply as soon as possible.

Jurisdiction
Your holiday contract with Incredible Heritage India Tours is made on the terms of these Booking Conditions which are governed by Indian Law and both parties shall submit to the jurisdiction of Indian Courts only at the place of company’s global headquarter in Jaipur, Rajasthan in India at all times.
